Privacy Policy

Last updated August 2026. This policy explains what we collect, why, and what we will never do with it.

Privacy policy in full

The short version

  • We only ask for information that helps us support you.
  • Health details are visible only to our small volunteer team.
  • We never sell, rent or trade your information. Ever.
  • You can ask us to delete your record at any time, and we will.

Who we are

Sweet Souls Society for Type 1 Diabetes is a registered non-profit society supporting people living with Type 1 Diabetes across Andhra Pradesh & Telangana. For anything in this policy, contact us at sweetsouls362@gmail.com.

What we collect

When you register as a member

  • Identity and contact details — your name, email address, mobile number, date of birth, gender and address.
  • Health information — year of diagnosis, insulin regimen, how insulin is delivered, CGM use, treating hospital and doctor, and whether you need help affording supplies. All of this is optional.
  • Details of the person with T1D, if you are registering as a parent or caregiver.
  • An emergency contact, if you choose to give one.

When you use the site

  • Messages you send through our contact, volunteer, CSR and support forms.
  • Event registrations, including any note you add.
  • A session cookie that keeps you signed in, and your IP address on form submissions, which we use only to block abuse.

We do not use advertising trackers or third-party analytics profiling on this site.

Why we collect it

  • To verify and approve your membership, and to issue your membership card.
  • To give you guidance that fits your actual situation rather than generic advice.
  • To connect you to your district coordinator and to events near you.
  • To tell you about support circles, camps and workshops — only if you asked us to.
  • To understand, in aggregate, what the T1D community across our states needs, which strengthens the case we put to government.

When we use community data for advocacy, it is always aggregated and anonymous. No individual is ever identifiable in anything we publish or submit.

Who can see it

Your record is accessible only to the volunteers who run this organisation and who need it to do their work. Health information is held separately from your basic profile and is restricted further.

We will never sell, rent, trade or share your personal information with any company, advertiser or data broker. We will only disclose information if a law or a court order requires it, or if there is a genuine risk to someone's life.

Photographs

We publish photographs from our events. We only publish images where the people shown have agreed to appear, and we take particular care with photographs of children. If you would like a photograph of you or your child removed, email us and we will take it down immediately, without asking why.

How long we keep it

We keep member records for as long as you remain a member, and for a reasonable period afterwards so that we can help if you return. Enquiries and form submissions are kept while we deal with them and for our records afterwards. If you ask us to delete your data, we will do so promptly.

Keeping it safe

Passwords are stored hashed and are never readable by anyone, including us. Form submissions are protected against cross-site request forgery, and repeated attempts are rate-limited. Access to member records is restricted to authorised volunteers.

No system is perfectly secure. If a breach ever affected your data, we would tell you.

Your choices

  • See your data — sign in to your dashboard, or ask us for a copy.
  • Correct it — edit your profile, or email us.
  • Stop the emails — use the unsubscribe link in any email, or tell us.
  • Delete everything — email us and we will remove your record.

Children

Many of the people we support are children. Where a person with Type 1 Diabetes is a minor, we expect a parent or guardian to register on their behalf and to give consent. We do not knowingly collect information directly from children.

Changes

If we change this policy in any way that matters, we will update the date at the top of this page and, for significant changes, tell members by email.
